Change how a workflow runs
Approvals, required due dates, reminders, recurring digests, when a record counts as stuck, and who can move records are all set by telling Helmior, either in the workflow's conversation in the app or in its group chat. Helmior repeats the change back and saves it only after an admin says yes.

Say it, then say yes
There's no settings screen for a workflow. Tell Helmior what you want, in either of two places:
- In the app: open the workflow and type it. The change comes back as a proposal. Click Apply.
- In the group chat: mention Helmior there. It repeats the change back in plain words. Reply yes to save it or no to leave things as they are.
Only admins can change settings. Anyone can ask how things are set up:
@Helmior how is this set up?
What you can set
| You want… | Say something like |
|---|---|
| An approval before records enter a stage | Dana approves everything going into Won |
| No approval | Won doesn't need approval any more |
| A due date before records enter a stage | records need a due date before Scheduled |
| Reminders about due dates | remind people the day before a record is due · and the morning of, at 8 |
| An overdue note in the record's thread | flag records the day after they're missed |
| A briefing before stage meetings | brief people 15 minutes before a stage meeting |
| A recurring post in the group chat | post a weekly digest every Monday at 9 · daily standup on weekdays at 9:30 · monthly summary on the 1st |
| When a record counts as stuck | a record is stuck after 5 days in a stage |
| Bottleneck warnings | tell the team when 3 records are stuck in one stage |
| Who can move records | only sales can move deals into Won (strict) · let anyone move records (loose) |
| How sure Helmior must be before it moves a record without calling it a guess | call it a guess if you're less than 70% sure |
| How long "undo" works after a move | undo should work for 30 minutes |
| The workspace timezone | we're on Kolkata time |
You can say several things in one message. If a name doesn't match a stage or a person, Helmior asks rather than guessing.
Approvals
When a record is about to enter a stage that needs approval, Helmior asks the approver in the group chat, for example "Dana, approve moving Acme to Won?". Only that person can answer. On a yes, the record moves. On a no, it stays where it is. Records waiting on you appear under Needs you in the Log and in your brief.
Due dates
If a stage needs a due date and someone moves a record there without one, Helmior asks "When is it due?" and finishes the move with the answer. Say the date in the same message (Acme accepted, due Friday) and it doesn't need to ask.
Where it shows
The workflow's Preview shows approvals and required due dates on the stages themselves, and lists everything else underneath. The workspace's timezone and brief also appear under Settings → General.
Frequently asked questions
I said it in a direct message and Helmior told me to say it in the group chat.
A workflow's settings belong to that workflow, so Helmior needs to know which one you mean. Say it in the workflow's group chat, or in its conversation in the app. Workspace-wide things, like the timezone and the brief, work from a DM too.
Can I turn reminders off just for me?
Yes. Message Helmior directly: stop reminding me. See Reminders.
What's the difference between a digest and the brief?
A digest, standup or monthly summary is posted in the workflow's group chat for the whole team. The brief is a private message to each person about their own work.
Still stuck? Email support@helmior.com with a screenshot of what you see, and a person will answer.
